About the opportunity:

We are seeking a committed Executive Assistant / Secretariat Coordinator to join our small team of professionals. In this role, you will both perform the Executive Assistant role to the Chancellor and provide extensive secretariat assistance for Council and committee operations.

Key Responsibilities:

  • Undertake Executive Assistant duties for the Chancellor, including managing a busy diary and phone calls.
  • Work closely with the Chancellor, providing executive support.
  • Secretariat assistance including the preparation of agendas, documents, minutes, and correspondence for the Council, the Academic Board, and their associated committees.
  • Coordinate administrative functions for the University Secretariat team, including arranging meetings, tracking budget expenditures, and conducting financial administration.
  • Coordinate logistics for committee members, such as paperwork, travel arrangements, and finances.
